How to Send a Quote Before the Job

A free quote template is the price you send while the client is still deciding. The sample is a contractor estimate for Dana Brooks: repaint a two-bedroom apartment. The price is valid until April 15, 2026. Labor in the sample is $55 an hour. Paint is $38 a gallon. The sheet multiplies quantity by unit price, then adds 8 percent tax.

Free quote template Excel

The free quote template Excel file has one client and one job. Dana Brooks is the sample client. Prep and patch walls is a different line from paint as a material, and paint the walls as labor is a third line. Splitting labor and materials makes the estimate easy to explain.

Type the tax rate as 8%, not the number 8. The tax formula multiplies the subtotal by that rate. Estimate total is subtotal plus tax. Those three cells are green.

Quote, then invoice

After the client accepts, copy the agreed lines into the free invoice template. The quote is not the final bill. If the date passes April 15 in your own file, you can change the price. The sheet does not expire itself.

  1. Download the free quote template.
  2. Type the client, the job, and the valid-until date.
  3. Type quantity and unit price. Leave the line totals alone.
  4. Send the quote. Keep the invoice for after the work.
  • Calling the quote an invoice before the job starts.
  • Typing 8 instead of 8% and getting a tax that is far too small.
  • Saving as CSV and losing the tax formula.
